In short
Activ is cloud-based ISO management system software covering documentation, risk, audits, non-conformities, legal compliance and supplier management. Equas is a reseller of Activ and can supply, configure and populate the system, then support you in using it to run and maintain your certification.
What the Activ ISO management system software offers
Most management systems start life on a shared drive. That works until it does not. Versions multiply, the audit schedule lives in someone's calendar, corrective actions sit in an email thread, and when the auditor asks for the evidence trail, somebody spends an afternoon assembling it.
Activ replaces that with a single online portal holding your whole management system: controlled documentation, risk assessments, the audit programme, non-conformities and corrective actions, the legal register, training records and supplier management.
The practical benefits are ordinary but real. There is one current version of every document, and everybody has it. Actions have owners and due dates and chase themselves. Audit evidence is retrievable in seconds rather than assembled from memory. And ownership spreads beyond the one person who understands the spreadsheet, which is the single biggest structural risk in most management systems.
Activ supports ISO 9001, ISO 14001, ISO 27001, ISO 45001 and other standards, with modules including a certification manager for organisations building a system from scratch, and Activ Comply for tracking legal compliance obligations as legislation changes.
Equas is a reseller of Activ. We can supply the licences, but more usefully we can configure the system around your management system and populate it, which is the part organisations most often stall on. Software bought and never populated is a cost with no benefit, and we have seen enough of that to be direct about it.
Being straightforward about the fit: if you are a ten-person business with a simple single-standard system and one organised person running it, a shared drive may serve you perfectly well. Activ earns its place when you have multiple standards, multiple sites, several people involved, or an audit trail that has become difficult to reconstruct.
Who it is for
Working towards certification
Building the system directly in Activ avoids the migration exercise later. The certification manager module is designed for organisations starting from nothing.
Already certified
Most relevant when you hold several standards or operate across sites, when audit evidence takes too long to assemble, or when too much of the system lives in one person's head.
What is included
One current version of every document, with approval, review and version history built in.
The schedule, the audits, the findings and the follow-up, all in one place.
Actions with owners and due dates that chase themselves rather than sitting in an inbox.
Assessed, recorded and reviewable, with change history.
Activ Comply tracks your legal obligations and flags legislative change.
Supplier assessments and competence records held alongside the rest of the system.
Set up around your system and loaded with your content, so it is usable from day one.
How it works
- 1
Fit assessment
An honest look at whether software will help you, and which modules you would actually use.
- 2
Licensing
Licences supplied through Equas as an Activ reseller, sized to your users and modules.
- 3
Configuration
The system is configured around your management system structure, not the other way round.
- 4
Content population
Your documents, registers, audit programme and records are loaded in. This is the step organisations most often stall on.
- 5
User training
Training for system owners and everyday users, so adoption goes beyond the person who bought it.
- 6
Ongoing support
Continuing support, either standalone or as part of an outsourced maintenance package.
